Zwrotnik · school ticket refunds

Ticket refunds without a paper file in the school office

The pupil buys a monthly ticket as before. They submit the refund application from a phone, with a photo of the ticket. The school checks it in the app and, at the end of the period, downloads the list for the accounts department and the transfer file for the bank.

The ticket is bought as before

Zwrotnik does not sell tickets and does not deal with the carrier. It handles what sits in paper files today: the application, the decision and the payment list.

How it works

From application to bank transfer

The statuses are the same as those shown in the app. Each step has an owner, so it is clear whose move it is.

Parent
Submits an applicationRoute, carrier, ticket validity, price and photo. The app checks that the period is open and that the price falls within the allowed range.Submitted
School

For the accounts department

The list that closes the month

Once the period is closed, the school downloads a list per class, with the form teacher and the total. Nobody retypes anything into a spreadsheet.

List layout as in the app. Sample initials and amounts.
For the council office

The period summary on one sheet

Period parameters, number of applications and totals. The municipality sees how much it paid out and on what terms, without asking the school.

Headings and fields as in the summary from the app. Sample data.
Features

What the school and the municipality get

Settlement periods

A settlement year with a default refund percentage, and application periods: dates, minimum and maximum ticket price, eligible classes and journey types.

Pupil verification

The pupil or guardian downloads a PDF declaration that the data are correct, signs it, and the school uploads the scan and activates the account. Any change to the data requires re-verification.

Guardian account

The school generates registration keys for parents. The parent matches their child by PESEL number and bank account, or creates an account for the child.

Statuses with comments

Submitted, needs correction, awaiting verification, accepted for payment, settled, rejected. Returns for correction and rejections carry a comment for the parent.

PDF reports

Refund list for the accounts department per class, list of eligible pupils with bank accounts, settlement month, period summary, letter to form teachers.

Elixir transfer file

Amounts, account numbers and payment references in a file for import at the bank, with a choice of encoding. Downloading the file marks the applications as settled.

Limits

What Zwrotnik does not do

So that the municipality knows what it is buying before it signs.

Does not sell tickets

The pupil buys the ticket from the carrier. The app refunds its cost based on the photo and the school’s decision.

Does not make transfers

It prepares a file for the bank. The payment order is sent by an authorised person in the school’s online banking.

Does not check attendance

If the refund depends on attendance, the app generates a letter to form teachers. A person makes the decision.

Does not send status notifications

The status is visible after logging in. The only e-mail is the password reset.

What changes

Before and after launch

Today

  • Application on paper, ticket as a photocopy
  • Pupil data retyped into a spreadsheet
  • Account number typed into each transfer by hand
  • Nobody knows how many applications are still waiting

After the rollout

  • Application with a photo of the ticket, from a phone
  • Pupil data entered once, confirmed by a declaration
  • Transfers from a file, account number from the pupil’s profile
  • Every application has a status and a history
Questions

What people ask about most

Does the parent have to install an app?

No. A browser on the phone is enough. The parent registers using a link with a key generated by the school.

What about a parent without internet access?

The school office can create the pupil’s account and submit applications on their behalf. The workflow stays the same; only the person entering the data changes.

How does the app know the pupil’s data are genuine?

From a signed declaration. The pupil or guardian downloads it from the school’s public page after entering the PESEL number and the last digits of the bank account, and the school uploads the scan and activates the account.

Can different refund percentages be applied?

Yes. The percentage is a property of the settlement period, so later periods can have different rules, price ranges and eligible classes.

How does the payout work?

Once the period is closed, the school downloads the Elixir file and imports it into its online banking. The app has no access to the school’s bank account.

Where do we start?

With one school and one settlement period. We need the list of classes, the ticket types and the carriers.

One month

A month at school

A parent with a phone in hand at a bus stop, beside them a child with a backpack, seen from behind.

Early September

The parent buys the ticket and submits the application with a photo the same day.

A desk in the school office, a monitor showing a list, binders beside it.

During the month

The school office reviews applications in spare moments, not all on one day before the deadline.

A desk with a laptop and a printed summary, a mug beside it.

After the deadline

Closing the period, the list for the accounts department and the file for the bank. No retyping.

Let’s start with one school

All it takes is the list of classes, the ticket types and the carriers. We configure the rest together.
